Terms & Conditions – IBET Trip 2026

By registering for and purchasing a place on the IBET Trip 2026, participants agree to the following Terms & Conditions.

1. Registration, Payment & Participation

1.1. The total estimated budget of the Trip is expected to range between €900-1000 per participant.
1.2. An initial participation payment of €750 is required to confirm a participant’s place on the Trip. This payment is primarily used to secure time-sensitive bookings such as flights and other advance reservations.
1.3. Payment of the initial €750 confirms participation in the Trip, subject to availability. Any remaining balance will be communicated separately and must be paid within the deadlines set by the organizers.

2. Limited Availability & Allocation of Spots

2.1. The Trip has a limited capacity of 10 participants.
2.2. Places are allocated strictly on a first-come, first-served basis, based on successful completion of registration and payment of the initial participation fee.
2.3. Once all available spots are filled, the organizers are unable to accommodate additional participants.

3. Cancellation & Refund Policy

3.1. If a participant is unable to attend the Trip due to personal, medical, academic, or other unforeseen circumstances, the organizers will make a best-effort attempt to recover and refund any refundable portion of the amount paid.
3.2. Refunds are not guaranteed. Any refund depends on costs that can be recovered from third-party providers (such as airlines, accommodation providers, and transport services).
3.3. Costs that are non-refundable or already incurred cannot be reimbursed.
3.4. Participants are encouraged to inform the organizers as early as possible if they are unable to attend.

4. Travel Responsibilities

4.1. Participants are responsible for ensuring they have valid travel documents, including passports, visas (if applicable), and any required vaccinations.
4.2. Participants are strongly advised to arrange appropriate travel and health insurance for the duration of the Trip.

 

5. Conduct & Participation Expectations

5.1. The Trip is an academic and cultural experience. Participants are expected to behave respectfully, responsibly, and in consideration of fellow participants, organizers, and local communities.
5.2. In the unlikely event of behavior that significantly disrupts the Trip or poses risks to others, the organizers reserve the right to take appropriate action to ensure the safety and well-being of the group.

6. Program Changes

6.1. The organizers reserve the right to make reasonable changes to the Trip itinerary, schedule, or activities due to logistical, academic, safety, or external circumstances.
6.2. Such changes do not automatically entitle participants to a refund.

7. Liability

7.1. While the organizers will take reasonable care in planning and coordinating the Trip, participation is undertaken at the participant’s own responsibility.
7.2. The organizers are not liable for delays, cancellations, losses, or damages caused by third parties or circumstances beyond their control.

8. Acceptance of Terms

8.1. By completing registration and payment, participants confirm that they have read, understood, and agreed to these Terms & Conditions.
